TRACKING LOG USING CPT CODES

private-practice.com has developed an Excel spreadsheet tracking system that will allow you to track all your contracted treatment sessions using CPT Code values. This program will prove to be an excellent addition to your billing programs.

Each tracking log comes with a CPT Charge Sheet to be filled in per your regions reimbursed amounts. There are 85 different codes listed with descriptions. There are separate logs for OT, PT and ST. Another advantage we've found, is since most insurance companies do not reimburse different rates for PTA's or COTA's vs. PT's or OT's there's no need to have different sheets for them.

Whether you're serving out patients in hospitals, nursing homes, home health agencies, or your own clinic you'll be able to keep an accurate count of codes used treating patients. As well as, a running tally of all charges. This tool will track multiple therapists but requires a separate log sheet for each. (We also have a Tracking Log For Agency Contractors).

Here's how it works:

Suppose you provide service to out patients in your clinic, The Special Speech Center. In your state, the code 92506 is reimbursed at $90.00 and the code 92507 is compensated at $45.00 per use. You would go to the CPT Charge Sheet and fill in that amount. Please remember each state or region has different values for each code. Look in the most current Federal Registry to find out what you will be reimbursed. We've included 85 different codes with descriptions.

You'll record the name of your client or resident receiving treatment. Then your therapist or office person will record the codes used for each day. Note that the value of the codes are automatically loaded from your CPT Charge Sheet. There is room to list 43 codes per client per sheet. This is most helpful if your client is receiving more than one therapy (OT or PT) at your clinic. Right now we have Alice being evaluated on the 1st and receiving speech treatments on the 2nd, 3rd, 5th and 6th.

Our log will compute the total units billed AND then multiple them by the value of that code! So far Alice has been billed for 8 codes or units of treatment 1 for $90.00 and 7 for $315.00.

Finally, our tacking log will total your charges and units for Alice. In our example, you would bill Alice or her insurance company $405.00 for 8 units of therapy. This log will also be useful as a 'double check' for further proof if any requests are made by an insurer for additional documentation of visits.

There are also easy to follow instructions for copying log sheets for each client. There isn't another log like this available anywhere!
